What can KoHe be used for in a service business?
KoHe can be described as a customer register, but in daily work it is a broader tool. It helps service businesses manage customer records, visits, notes, invoicing, payments, secure file sharing and service sales in one clear system.
A customer register is the starting point
Many small businesses first need one reliable place for customer details. Names, phone numbers, notes and billing information may be spread across a phone, calendar, email and spreadsheets. That works for a while, but it becomes fragile when customers return regularly.
In KoHe, customer information can be connected to visits, notes, invoices, service packages and communication. When a customer contacts the company again, the important history is available without searching through several tools.
Care and health-related work needs stricter handling
If a business handles care or health-related information, ordinary customer notes are often not enough. Access rights, logs, structured notes and secure sharing become more important. KoHe is registered in Finland as an Astori B-class patient information system for a defined healthcare use case, without a direct Kanta connection.
This makes it possible to keep care-related records separate from general service sales and invoicing. The goal is not to make daily work heavy, but to keep sensitive information under better control.
Invoicing and payment tracking in the same workflow
Invoicing in a service business can come from visits, monthly contracts, one-off service rows, work time entries or point-of-sale payments. If these are handled in separate tools, it is easy to forget something.
KoHe can collect invoice rows from different workflows, handle VAT per row and keep the payment status visible. Internal payment marking, reminders, late-payment interest and reminder fees can be handled as part of the same invoicing process. Fixed monthly invoices can also be scheduled automatically when the service model is recurring.
Online sales, gift cards and service packages
KoHe can also support a public online sales path. The first practical model is gift cards and service packages: the buyer receives a receipt, the recipient receives the gift card and the business can later see whether it has been used or refunded.
This is useful when services are sold before the actual visit. A gift card, series card or package is no longer a separate product outside the customer history.
Secure file sharing instead of ordinary attachments
Many businesses still send personal data, contracts or confidential documents as ordinary email attachments. KoHe secure file sharing gives a more controlled option: the recipient receives a protected link and opening can require a verification code.
This feature is not limited to healthcare. It can also be used for B2B documents, billing material, reports or other files that should not be sent as plain email attachments.
B2B customers, work time and contract billing
Not every KoHe customer works with consumers. A company may serve other companies, housing companies or organizations. In that case the important data is often about customer companies, contacts, contracts, work entries and invoicing.
KoHe can connect work time to a customer company, cost center, contract quota or extra invoice row. Hourly rules, fixed-price items and monthly summaries help turn completed work into invoice material without a separate spreadsheet.
Start with the workflow that hurts most
KoHe does not have to be introduced all at once. One business may start with customer records and invoicing, another with secure file sharing, another with care records, and another with B2B work time billing.
